Overview

We are seeking a senior level Executive Assistant for a temporary role .  You’ll be fully trusted with complex duties that must be expertly completed in order to positively impact the organization.  Additionally you will manage strategic projects and company initiatives that are essential to fulfilling organizational objectives.

 


The ideal candidate will use your advanced communication and organizational skills, analytical skills, as well as your finely honed project management skills along with the ability to make sound decisions, prioritize, multi-task.  You will need to manage confidential data in a fast-paced, dynamic environment with a positive and fast-paced attitude.

 

The ability to learn, adapt quickly, and master established processes is essential to success in this role as well.

 

You will help shape the strategy and execution of various initiatives and develop programming communication for senior leaders.  You will engage across all company departments as part of your project management responsibilities.

 

This person must be exceptionally well organized, flexible and detail-oriented. The candidate also much be comfortable using his or her experience and best judgement in making decisions.



Responsibilities

  • Take on special projects that are critical to the success of the IT department
  • Manage the logistics for annual team/departmental goal setting
  • Effectively managing the day-to-day workflow of the CTO by maintaining calendar(s); scheduling appointments; arranging internal and external meetings; fielding and prioritizing phone calls, mail, responding to his emails and meeting requests as appropriate
  • Compiling expense reports, presentations and other departmental reports as needed
  • Coordinating travel itineraries and arrangements for domestic and international trips
  • Interfacing with all levels of staff, the board, and external relations
  • Monitoring and tracking various projects and tasks to ensure timely completion
  • Coordinating, attending and taking notes at team meetings to ensure follow up on action items.
  • Purchase supplies for the Product team as needed
  • Undertaking special projects and other duties as assigned

Qualifications

  • High school diploma required; Associate's Degree preferred
  • 5+ years' experience supporting executive level management in a corporate environment.
  • Bilingual a plus.
  • Experience coordinating and liaising with globally distributed teams.
  • Great attention to detail.
  • Multi-task oriented professional with ability to work in a fast paced environment and interact with all levels of personnel.
  • Previous experience working in an international setting is highly desirable.
  • Excellent interpersonal and communication skills.
  • Positive and professional demeanor.
  • Willingness to learn.
  • Ability to work independently and efficiently with minimal supervision.
  • Proficient using Microsoft Office Suite and SharePoint.
