    In this role, the Legal Operations / E-Billing Analyst will provide reporting and operations support to the Legal Operations team. This position will be focused on e-billing management, matter management as it relates to e-billing, providing reporting, analytics, and project coordination to the legal organization of WorldVentures. In this critical and fast paced role, the Legal Operations / E-Billing Analyst will act as a key individual in e-billing, overall operations, and reporting.  This individual will interface with about 15-20 attorneys and support staff as well as cross functional executive leadership and teams.


    • Responsible for the full administration and management of the Legal e-billing platform, including serving as internal owner of the system.
    • Ensure the processing of billing, billing changes, fee arrangements and the continuous support of external firm’s inquiries
    • Oversee the receipt and processing of monthly invoices from the outside law firms and vendors.
    • Serve as the primary point of contact for law firms resolving any billing inquiries/invoice issues and answering questions concerning matter/system status
    • Conduct analyses of the monthly statements received from outside law firms, focusing on rate, fee, expense and hourly trends to ensure compliance within billing guidelines. 
    • Prepare reports to Executive Management on legal spend and outside counsel performance.
    • Prepare reports reflecting the progress of payables from internal receipt to final execution of payment in consultation with the companies' controllers.
    • Create, maintain and distribute reports on behalf of Compliance, Genealogy, and special projects to key stakeholders within the organization.
    • Field inquiries from outside law firms regarding the status of their accounts receivables.
    • Field inquiries from internal controllers regarding internal expense allocations.
    • Respond to inquiries from Attorneys regarding project specific billing matters and status. 
    • Manage special projects under limited direction – responsible for managing and tracking project timeline, budget, and data flow of project information.
    • Ensures assigned duties and responsibilities/project results are completed with quality and are accurate in nature in order to meet leadership expectations.
    • Identifies and troubleshoots issues. Provides recommendation and resolution options to stakeholders.
    • Solicits reporting from various project sources. Analyzes and prepares status reports which reflect key items such as project health, schedules, risks, and issues. Reconciles budget spend against targets for complex divisional programs.
    • Perform day-to-day functions to support the successful operation of the department and division and support the objectives and goals of the department and division.
    • Analyzes and reports data in order to identify issues, trends, or exceptions to drive improvement of results and find solutions. Presents findings and makes recommendations.


    • 3+ years experience in a Legal Operations Analyst, E-billing or Financial administration/reporting role
    • 3+ years of specific experience in managing billing, invoices, vendors, required
    • Serengeti / Tracker or similar e-billing software experience required
    • Demonstrable capabilities in reporting, analysis, creation of presentations, and coordination of key projects.
    • Experience presenting and reporting on project plans to appropriate stakeholders and executive level leaders.
    • Intermediate skill in Microsoft Excel (pivot tables) and PowerPoint required
    • Experience with SharePoint and Adobe Acrobat are preferred
    • Experience establishing and maintaining relationships with colleagues, enterprise business users, peers and superiors.
    • Must be detail oriented in all verbal and written communications, processes, project tracking, and timelines.
    • Strong interpersonal and critical thinking skills.
    • Ability to work with a team of domestic and international peers in a fast paced and high visibility role.
    • Bachelor's degree or equivalent experience.
