    WorldVentures home office is seeking a positive, communicative, experienced candidate for a Sr. Executive Assistant position supporting the Chief People Officer and several other senior leaders and HR team. This role will require flexibility, responsiveness, discretion, and the ability to connect-the-dots to deliver on priorities.

    The ideal candidate will have multiple years of experience providing executive support preferably in a Human Resources department.  He or she must be proactive, always striving to stay two steps ahead of the game, while also being a team player.  Ambition is necessary combined with a positive “can do” attitude to assist in any way possible.  Discretion and confidentiality are critical and mandatory for this role.

    Responsibilities

    • Proactively coordinate the calendar for the CPO, senior HR Leaders and the HR team, including, but not limited to: scheduling meetings, reviewing attendee responses to ensure critical parties are able to attend, prioritize meetings and mitigate conflicts
    • Provide overall office management and administrative duties, such as phone coverage, call screening, timely response to emails requesting meetings or seeking support from leaders, employees, and members of the HR team
    • Plan, schedule, and arrange business meetings and travel itineraries
    • Manage multiple Human Resources projects, priorities and HR Generalist initiatives in parallel
    • Prepare PowerPoint presentations, Excel spreadsheets, meeting minutes and other business information/reports as requested
    • Assist with department annual budgeting and monthly P&L management
    • Provide discrete and confidential coordination of sensitive company information
    • Use discretion in interfacing with all levels of the organization, both internally and externally
    • Work autonomously, knowing when to ask for feedback or highlight conflicts that will need to be addressed proactively
    • Support the preparation of communications
    • Update distribution lists and organization charts for the HR function
    • Follow up to ensure timely achievement of commitments
    • Establish and maintain effective communication links with other executive-level administrative assistants across WV’s business entities, as well as with key stakeholders

    Qualifications

    • Bachelor’s Degree from an accredited university or college (OR High School Diploma / GED with multiple years of experience as an Executive Assistant preferably in a HR environment
    • Strong organizational skills
    • Exceptional attention to detail and accuracy
    • Ability to prioritize and anticipate needs
    • Ability to deal with ambiguity and handle stressful and difficult situations with composure - maintains a positive attitude
    • Knowledge of Human Resources operations, policies and governance
    • Ability to balance workload under short deadlines and changing priorities in a fast-paced environment
    • Ability to maintain absolute security of highly confidential information
    • Strong computer skills with proficiency in Microsoft Applications (PowerPoint, Word, Excel); other enterprise applications (i.e. iCIMS, ADP)
    • Strong oral and written communication skills
    • Ability to communicate with individuals at all levels of the organization
    • Strong interpersonal and professional skills
