    The successful candidate will be fully trusted with complex duties and act as an extension of the office of the CTO.  Advanced communication, organizational, and analytical skills are vital in this role as this person will be the primary point for department budgeting, reporting, contract management, project coordination, and inter/intra departmental communication. The candidate must have the ability to learn and adapt quickly, master established processes, and maintain confidentiality.

    Responsibilities

    • Monitor project and department initiatives and escalates concerns to team leadership
    • Work with department leaders on tracking of deliverables and action items.
    • Create reports, analyze data, and create management dashboards
    • Ensures metrics and status reports are accurate and updated according to established schedule
    • Pro-actively identify and propose solutions for potential issues, bottle necks, and inefficiencies
    • Maintains and monitors department budget and financial functions
    • Manage contract renewals and ensure budgets are in line with renewal time-lines
    • Process, monitor, and follow up on all department invoices 
    • Manage vendor interaction, follow up, and communication
    • Provides administrative support to CTO for scheduling, general administrative support, and meeting preparation
    • Demonstrates strong business acumen by drawing accurate conclusions from financial and other quantitative information
    • Manage enterprise level resource allocation and forecasting efforts
    • Provide support in department budget activities
    • Assists in meeting scheduling and follow-ups as needed
    • Compile expense reports, presentations and other departmental reports as needed

     

    Qualifications

    • 5+ years experience in similar role
    • Proven cross-functional/matrix management skills
    • Experience with contract reconciliation/management and vendor management
    • Curiosity and interest in technical projects and project life-cycle
    • Ability to assimilate and process data and present business impact and solutions to management
    • Exceptional organizational skills and ability to provide seamless project and administrative support to department and leaders
    • Excellent problem solving and decision making skills
    • Excellent Excel and PowerPoint skills
    • Superb planning and project management skills
    • Good judgment, strong initiative, and quick learner
    • Excellent written and oral communication
    • Highly efficient with the ability to manage a number of diverse tasks, activities, and projects
    • High degree of professionalism, integrity, and confidentiality
    • Positive, results-oriented attitude
