  • Overview

    Provides secretarial/administrative support directly to executives (excluding CEO), exercising confidentiality, tact and diplomacy | Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc.; may prepare responses to routine correspondence and inquiries | Receives, screens and directs incoming calls, visitors, mail and e-mail | Maintains files, records, calendars and diaries; typically arranges business travel, coordinates meeting arrangements, and tracks expenses | Participates in the development and implementation of secretarial standards, policies and practices for the organization

    Responsibilities

    Provide administrative support to the executive team. Manage the department needs to assure that department infrastructure needs are met. Participate in the planning and coordination of meetings. Manage Executive's daily calendar to ensure the efficient use of time and minimize distractions. Ensure all requests requiring the Executive's approval or signature have the necessary supporting documentation and approvals. Receive, screen and direct incoming calls, visitors, mail and e-mail. Use business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc.; may prepare responses to routine correspondence and inquiries.

    Qualifications

    � 5+ years of administrative support experience� Excellent knowledge of MS Office� Bachelor�s degree preferred or equivalent work experience � Excellent written and verbal communication skills� Ability to multitask and prioritize daily workload� Discretion and ability to maintain confidentiality� Strong organizational skills and ability to manage constantly changing priorities
